What PG management software actually does
PG management software is a single place (an app on your phone and usually a web dashboard) where you record your buildings, rooms, beds, tenants, rent, expenses and complaints. Instead of five registers and a WhatsApp group, you get one system that:

1. Automatic rent reminders
This single feature pays for the software. Look for reminders that go out automatically (you should not have to press "send" for each tenant) and that work for tenants who do not install any app, which is why SMS still matters in India.
2. Dues report you can read in 10 seconds
On any day you should be able to open one screen and see who has not paid, how much, and since when. Partial payments must be handled properly: if a tenant pays ₹4,000 out of ₹7,500, the balance should carry forward automatically.
3. Digital receipts
Tenants often need rent receipts for HRA claims at work. Auto-generated receipts save you writing them by hand and make you look professional.
4. Beds, rooms and multiple buildings
If you have (or plan to have) more than one building, check that you can switch between properties easily and set up rooms in bulk instead of one by one.
5. Expenses and profit & loss
Rent collected is not profit. Software that also records electricity, food, staff salaries and repairs gives you a real monthly P&L, which is what you need when deciding whether to open a second PG.
6. Easy data import
If you already have 60 tenants in Excel, you do not want to type them again. Look for Excel import and, ideally, a team that helps you with it.
7. Support in your working hours
You will have questions in the first two weeks. A phone or WhatsApp number that answers matters more than any feature.

How to compare fairly: convert everything to a yearly cost for your size. For example, per-bed pricing at ₹7/bed/month is about ₹3,360 a year for a 40-bed PG but ₹16,800 a year for 200 beds, while a flat plan costs the same at any size. Also ask what is extra: SMS credits, WhatsApp messages, payment gateway fees and onboarding are often charged separately.
Subscription vs per-bed vs one-time: which model suits you?
- Flat monthly subscription: simple and predictable. Good for most single-property owners.
- Per-bed pricing: cheap when you are small, but grows with every bed you add. Do the maths at the size you plan to be in two years, not today.

10-point checklist before you choose
- Can I see, on one screen, every tenant who has not paid this month?
- Are reminders automatic, and do they reach tenants without the app (SMS/WhatsApp)?
- Does it handle partial payments and advances correctly?
- Does every payment create a receipt I can share?
- Can I manage more than one building from the same login?
- Does it track expenses and show profit and loss?
- Can I import my existing Excel data, and will someone help me?
- Can my manager or warden get limited access, without seeing everything?
- What is the real yearly cost at my size, including SMS and extras?
- Can I export my data (Excel/PDF) if I ever leave?
