PG rent receipt format: what to include

A proper PG rent receipt is short, but it needs the right details. A receipt that is missing the period or the owner's name is often rejected by employers for HRA claims. Every receipt should show:

1. Receipt number and date: a running number makes records easy to trace.
2. PG name and address: where the tenant stays.
3. Tenant name and room number.
4. Rent period: the month (or dates) the payment covers.
5. Amount in figures and words: for example, ₹8,500 (Rupees Eight Thousand Five Hundred Only).
6. Payment mode (cash, UPI, bank transfer, cheque) and transaction ID if any.
7. For part payments: the total rent, the amount paid and the balance due.
8. Owner's name and signature, plus PAN when the tenant needs it for HRA.

Rent receipts for HRA: things tenants ask about

• Owner PAN: employers usually ask for the PG owner's PAN when a tenant's yearly rent is more than ₹1 lakh.
• Revenue stamp: for cash payments above ₹5,000, a revenue stamp is commonly affixed and signed across. For UPI or bank transfers, the transaction reference serves as proof.
• Monthly or yearly: many employers accept either monthly receipts or one receipt per quarter or year. Our generator creates one receipt per month for up to 12 months in one go.

Is this rent receipt generator free?

Yes. It is completely free, with no sign-up and no limit on receipts.

Is my data safe?

Everything runs in your browser. The details you type are not uploaded to any server. Your PG name, address, owner name and PAN are remembered only on your own device, so you don't have to type them again next time. Click "Forget" to remove them, for example on a shared computer.

How do I save the receipt as a PDF?

Click "Print / Save as PDF" and choose "Save as PDF" as the printer. On a phone, use the share or print option that appears.

How do I send the receipt on WhatsApp?

Tap "Share PDF on WhatsApp". On a phone, your share menu opens with the PDF attached. Pick WhatsApp and choose the tenant. On a computer, the PDF downloads and you can attach it in WhatsApp. Prefer a quick message? Use "Send as text".

Can I make a receipt for partial rent?

Yes. Tick "This is a partial payment", enter the total rent for the month and any amount paid earlier. The receipt shows the payment as part payment along with the balance still due. When the tenant pays the rest, make another receipt with the earlier amount filled in, and it will show the rent as fully paid.

Can I use it for a hostel or rented flat?

Yes. Just enter the hostel or building name in place of the PG name.
