How to Handle Late Rent in a PG: A Step-by-Step Approach

Almost every PG owner has a tenant who pays late. The goal is not to win an argument. It is to get the rent in, keep the relationship civil and avoid a vacant bed. A clear, calm routine works better than anger.

First, prevent most of it

  • State the due date clearly in the agreement and at move-in.
  • Match it to salary dates. If most tenants are paid on the 1st, a due date of the 5th gets more rent in on time than the 1st.
  • Send reminders automatically a few days before the due date. SMS reminders work even for tenants who do not use apps.
  • Make paying easy, with UPI and a quick receipt every time.

The escalation ladder

WhenWhat to do
2 to 3 days before the due dateAutomatic reminder
On the due dateReminder if not yet paid
2 to 3 days lateA friendly personal message or call
5 to 7 days lateA short written reminder with the exact amount and a new date
10 days lateA conversation about what is wrong, and a part-payment plan if needed
Beyond thatA formal notice as per your agreement, and legal advice if needed

Sample messages

Friendly (2 to 3 days late): "Hi [Name], a quick reminder that this month's rent of Rs. [amount] was due on the [date]. Could you please pay by [date]? Let me know if there's any problem. Thanks!"

Firmer (5 to 7 days late): "Hi [Name], your rent of Rs. [amount] for [month] is still pending. As per our agreement, please pay by [date]. If you have a difficulty, please call me so we can sort it out."

Keep messages polite, specific and private. Do not shame anyone in the PG group chat.

When a tenant genuinely struggles

A job delay or a family emergency is different from careless late payment. If you have a good tenant in a short-term difficulty, a written part-payment plan can be better than a vacant bed: for example, half now and half in two weeks. Write the plan down, with dates. Software that supports part payments keeps the balance clear for both of you.

What to avoid

  • Do not lock a tenant out, cut electricity or water, or remove belongings. This can create serious legal trouble for you.
  • Do not discuss a tenant's dues with others.
  • Do not accept payments without recording them and giving a receipt.
  • Do not change terms by message without a written note.

What about the security deposit?

The deposit is not a substitute for rent while a tenant is living with you, unless your agreement says so. Use it at move-out, as set out in your agreement. See PG security deposit rules and refund process.
