PG Expense Tracking: How to Know Your Real Profit Every Month
Many PG owners know how much rent they collected but not how much they kept. When bills are paid from the same account as personal expenses, profit is a guess. Tracking expenses properly takes about ten minutes a week and shows you exactly where the money goes.
Why track every expense?
- You see your true profit, not only your income.
- You spot cost increases early (an electricity bill that jumped, a repair that keeps recurring).
- You can compare months and compare buildings.
- You have clean numbers for your accountant and for tax time.
Use a few clear categories
| Category | Examples |
|---|---|
| Building | Rent or loan instalment, property maintenance charges |
| Utilities | Electricity, water, gas, internet |
| Staff | Manager, cook, cleaner, security salaries |
| Food | Groceries, vegetables, cooking gas (if you serve meals) |
| Repairs | Plumbing, electrical, furniture, painting |
| Supplies | Cleaning items, bulbs, linen, toiletries |
| Other | Software, licences, marketing, small unexpected costs |
Keep the list short. Ten categories you use are better than thirty you ignore.
A ten-minute weekly routine
- Record each expense with the date, amount, category and building.
- Take a photo of the bill or receipt and attach it to the entry.
- Pay staff salaries on a fixed date and record them the same day.
- On the last day of the month, check that your total expenses match what left your account.
PG ZONE lets you track expenses, store bills digitally and manage staff salaries, so the monthly totals are ready without a calculator.
Calculate your profit margin
Profit = income minus expenses. Profit margin = profit ÷ income × 100. For example, if you collect ₹2,56,000 and spend ₹1,85,000, profit is ₹71,000 and the margin is about 28%. Watch the trend. A margin that falls month after month is a signal to look at occupancy or costs.
Warning signs
- Electricity cost rising while occupancy stays flat
- The same repair appearing every month
- Expenses that you cannot match to a bill
- Staff costs growing faster than income
- One building's margin much lower than the others
More than one building?
Track each building separately, then add them up. That shows you which property is carrying the others. Software that supports multiple buildings makes this automatic.
